To find the best phone services for small businesses, I did extensive research and tested many of the services in real-life situations.

Here’s what I looked at:

  • Personal Experience: I have real experience with business phone systems because my company currently uses Nextiva and has used others in the past. This gives me a real-world understanding of how these services work day-to-day.

The service comes with a simple web-based admin panel, which makes it easy for small business owners to manage the unified communications platform like a pro. That being said, the mobile app can be a bit tricky to learn at first.

Nextiva’s VoIP phone service for small businesses includes advanced call routing, unlimited free domestic calling, voicemail to email and text, online faxing, text messages, and more.

You also get a free local or toll-free number, free number porting, and all the standard call management features like caller ID, call forwarding, routing, custom greetings, an advanced IVR (interactive voice response) system, and more.

My favorite feature is that Nextiva lets you add a business line for cell phones. This way, my team can receive incoming calls from our office or even when working remotely without having to share their personal cell phone numbers.

The Nextiva app works on both iPhone (iOS) and Google (Android) smartphones.

They also offer text messaging and video conferencing, which makes it easier for my team to communicate with customers using their preferred business communication channels.

RingCentral is another popular business phone service for companies of all sizes, and I like its cloud-based features. I find it to be one of the most feature-rich small business phone systems on the market.

Overall, RingCentral is a great phone solution for physical offices looking to replace landline phones and those moving to a virtual office.

Their business phone platform includes all the standard business call features you’d expect. These include unlimited calling, call forwarding, caller ID, call waiting and transfer, and the ability to share one line on multiple mobile devices and with different users.

I also really like their integrations with call center software, connection with support help desk software, and many other add-ons that let you create an integrated customer contact center.

That said, I did find that setting up SMS through RingCentral was more challenging than with other companies.

Their service can work with your telephone system when compatible. Alternatively, you can use their virtual phone system through the RingCentral desktop app and mobile app, which works on all smartphones (iOS and Android).

RingCentral also includes a lot of extra features, such as video meetings with screen sharing, team messaging, 1000 toll-free minutes, and integrations with Google Workspace, Dropbox, Microsoft, and other important services.

However, customer support can be a bit slow with RingCentral. While their team tends to be very knowledgeable and helpful, you may need to wait a little longer for answers to your questions.

What I like about RingCentral:

  • Their intuitive cloud-based admin makes setting up and managing your calls super easy.
  • They have reliable infrastructure and service.
  • They have a wide range of integrations with third-party platforms and customer support software.
  • Extra features include automatic transcription, real-time analytics, a voice-over call recording service, and AI-generated sales call insights.

What I don’t like about RingCentral:

  • The learning curve is a little steep, but once you learn the platform it is smooth sailing.
  • Customer support can be slow at times.
  • Setting up SMS through RingCentral is often challenging and time-consuming.

It’s half the price of my other top choices, but its cloud VoIP phone system includes everything you need. Plus, you can manage everything from the familiar Zoom interface.

Essentially, you get VoIP phone service, video meetings, and team chat all together. I like that with a simple click, you can seamlessly elevate a phone call into a video conference with Zoom Meetings or transfer a call to a Zoom Room.

It eliminates the need to juggle multiple platforms, saves time, and helps improve team and customer communication. That being said, call quality isn’t as high as what you’d get with Nextiva or RingCentral.

Zoom Phone offers a wide array of useful features, including call forwarding, call recording, voicemail transcription, automatic call attendance, SMS, desktop and mobile apps, and even desk phone support.

However, it’s not the best option if detailed call analytics are a top priority for your business.

What I like about Zoom Phone:

  • It’s very budget-friendly for small businesses.
  • It covers everything from phone calls to video conferences and meetings.
  • The call interface is beginner-friendly.

What I don’t like about Zoom Phone:

  • The metered international calling fees are a bit expensive for small businesses.
  • There are occasional issues with connectivity and lag during video conferencing.

A virtual phone number means it can forward calls to any phone number or mobile device. However, you will still need a regular phone line for outgoing calls.

Grasshopper comes with standard features you’d expect, like call forwarding, call routing, call waiting, call hold music, voicemail-to-email transcripts, and more. This means that it provides a solid base for business communication.

Plus, it allows you to use multiple extensions for your number and choose from local, toll-free, and vanity phone numbers.

I find that it’s great for remote teams because you can add extensions that can be used from anywhere using their mobile or desktop apps. However, it’s not the cheapest option for international outgoing calls because you’ll have to pay extra to unlock this feature.

What I like about Grasshopper:

  • It offers US, Canada, and UK-based local and toll-free numbers, making it ideal for international teams.
  • Very beginner-friendly.
  • It’s more affordable than many other business phone services.

What I don’t like about Grasshopper:

  • Grasshopper lacks advanced features like video conferencing and team messaging.
  • It has limited call analytics.
  • You have to pay a $500 deposit to enable international outgoing calls.

5. Ooma – Best for Affordability & Simplicity

I like that the Ooma Office platform comes with all the powerful features you would expect from a business phone service, such as a virtual receptionist, extension dialing, music-on-hold, smart mobile phone apps, call logs, and more.

You can also add a toll-free number to any Ooma office plan. By default, they will pre-select a toll-free phone number for you, but you can also choose a new one.

Best of all, the setup is very easy, and you can do it within minutes, which is great for busy business owners.

However, in my opinion, the Ooma app has an old and outdated design. Ooma is also not the best option if you anticipate rapid growth in your business because it’s not as scalable as Nextiva.

What I like about Ooma:

  • Beginner-friendly control panel makes it easy to manage calls, add new team members, configure settings, and more.

What I don’t like about Ooma:

However, Phone.com isn’t the best choice for customer support. Several users have reported long wait times when trying to get help with the service.

They also have advanced features like unlimited call queues, an advanced dial-pad editor, cloud branch exchange, advanced ring groups and wait time announcement for call centers, a paging system, eFax, and many more.

It also offers hundreds of CRM integrations and other marketing integrations with popular services like Salesforce, Zoho, Microsoft Outlook, Google Workspace, Zendesk, Slack, and many more.

However, because GoToConnect has so many advanced features, it can be tricky to learn at first. It might not be the best pick if you’re completely new to VoIP systems.

However, I found that Freshcaller’s AI features are limited when compared to other business phone services.

What I like about Freshcaller:

  • You can create a global contact center by bringing your carrier or by purchasing numbers from 90+ countries.
  • It integrates well with other Freshworks products, such as Freshdesk and Freshsales, to streamline workflows and centralize data.

Dialpad also seamlessly integrates with 70+ popular tools and apps, including Google Workspace, Slack, Salesforce, Microsoft Teams, and Zendesk.

It’s a great option for call centers because of its integrated CRM, auto-dial, auto-log calls, call recording, and AI routing.

I also like that it comes with tons of advanced features, such as a virtual receptionist, call screening, click-to-dial, AI virtual assistant, and more.

Keep in mind that it’s one of the more expensive options on this list. So, if you’re a startup or a very small business, you may be better off with a different provider.

What I like about Vonage:

    I would like to mention an even more affordable option for those on a tighter budget. I personally use Skype with a local phone number. I pay about $30 a year for my local number and $2.99 a month for outgoing calls including long distance. I don’t have heavy phone usage and this has worked well for me for several years.
